Privacy Policy
Kweikuma Mensah Global Mission (KMGMission) is committed to handling personal information responsibly as people engage with our public websites, communications, applications, account services and ministry activities.
1. About this policy
This Privacy Policy explains how KMGMission may collect, use, store and manage personal information through its public websites and connected digital services.
KMGMission operates an interconnected digital ecosystem that includes public WordPress websites, KMGM Gateway services and KMGM Identity account services. Different parts of that ecosystem perform different functions, and information is not necessarily sent to every system.
2. Information you provide to us
Depending on how you interact with KMGMission, you may provide information such as your name, email address, telephone number, country, contact preferences, application information, messages, enquiries and other information requested for a particular ministry or service.
Contact enquiries
When you use our public Contact form, information you submit may include your name, email address, telephone number, country, subject, message, preferred contact method, consent information and the source page from which the enquiry was submitted.
Contact enquiries are passed from the public website to KMGM Gateway, where they may be recorded and managed through an administrative communications workflow. This may include status, assignment, acknowledgement, resolution and closure information.
Newsletter subscriptions
When you request a newsletter subscription, we may process your email address, name, source website or page and consent information.
Newsletter subscriptions are managed through KMGM Gateway. The service uses a verification process before a subscription becomes active and maintains subscription and unsubscription status. Verification and unsubscribe credentials are stored in hashed form within the subscription workflow.
Newsletter delivery records may contain recipient information, delivery status and timestamps, provider or message identifiers, and failure information where delivery is unsuccessful.
Applications and ministry participation
KMGMission provides application forms for areas including membership, volunteering, discipleship, leadership, ministry, baptism, prayer team participation, missionary service, internships and employment.
Application information is initially submitted to and stored within the KMGMission public WordPress application system. Authorized administrators may review the submitted information and may operationally export application records where necessary for the application workflow.
A basic administrative notification may include the application type, applicant's name, email address, telephone number and submission time.
If an application is approved, limited information may be sent to KMGM Identity for account provisioning. The provisioning process uses information such as the applicant's name, email address, telephone number, application type, application reference and assigned role. The complete application payload is not sent to KMGM Identity through this provisioning process.
3. Technical and operational information
Some KMGM Gateway public communications services record technical and operational information associated with a request. This can include the source website or page, browser or user-agent information, timestamps, workflow metadata and a hashed network/IP-derived identifier.
We use this information to operate and protect public services, maintain workflow records, support consent and verification processes, and administer communications.
4. How we use information
KMGMission may use information processed through these services to:
- receive and respond to enquiries;
- manage newsletter subscriptions, verification and delivery;
- receive, review and administer applications;
- provision approved applicants into KMGM Identity where appropriate;
- manage ministry and operational workflows;
- maintain records of consent, status and administrative actions;
- protect and operate our websites and connected services; and
- support accountability and authorized administrative review.
5. KMGM public websites, Gateway and Identity
Our public websites, KMGM Gateway and KMGM Identity have distinct responsibilities.
- Public websites provide public information, forms and entry points into KMGMission services.
- KMGM Gateway supports governed public and operational workflows, including public communications and newsletter services.
- KMGM Identity supports accounts, authentication, profiles, roles and related identity services.
Information is transferred between these components only as required by the relevant implemented workflow. For example, an approved application sends a limited provisioning dataset to KMGM Identity rather than the complete application record.
6. Administrative access and data stewardship
Access to administrative application and communications workflows is restricted to authorized functions within the KMGMission digital environment. Information may be reviewed or exported where required to administer the relevant workflow.
We seek to collect information appropriate to the purpose of each public form and to avoid unnecessary collection where information can instead be obtained later in a governed process.
7. Newsletter verification and unsubscribe controls
Newsletter requests use a verification workflow. Subscription records can reflect pending verification, active subscription and unsubscribe states.
Newsletter communications provide an unsubscribe mechanism. When an unsubscribe request is successfully processed, the subscription workflow records the unsubscribed state and time.
8. Retention and deletion
KMGMission maintains information for the operation and administration of the relevant service and workflow. Some communications and subscription records support soft-deletion within our systems.
Because retention requirements can depend on the type and purpose of a record, this policy does not state a universal fixed retention period. Records should not be kept longer than is reasonably required for their operational, governance, accountability or applicable legal purpose.
9. Your choices and requests
You may choose not to provide optional information requested by a public form. Where information is required to operate a requested service, we may be unable to complete that service without it.
Newsletter subscribers may use the provided unsubscribe process to stop future newsletter communications.
You may also contact KMGMission regarding questions or requests concerning personal information associated with your interactions with our services. Requests may require appropriate verification before changes or disclosures can be made.
10. Third-party and external services
Some KMGMission workflows may rely on service providers or infrastructure needed to host, operate or deliver our digital services and communications. The particular services involved can change as our technology environment develops.
We do not describe a third-party platform in this policy merely because it is commonly used on websites. Our privacy disclosures are intended to reflect services actually used by KMGMission.
11. Security
KMGMission uses administrative, application and technical controls intended to protect its digital services and restrict access to operational information. No internet-connected system can guarantee absolute security.
12. Changes to this policy
We may update this Privacy Policy as KMGMission services, workflows and governance practices develop. The current version published on this website is the applicable public version.
